QR Code Menu Best Practices: Size, Placement, Printing

How big a menu QR code should be, where on the table it belongs, which materials survive service, and the printing settings that stop a code scanning on the first try.

A QR code that takes three attempts to scan costs you more than a slow waiter. The guest has already decided your restaurant is fiddly, before they have read a single dish.

Almost every scanning failure comes from a small number of physical mistakes. Here they are, with the numbers.

Size

Minimum 2 × 2 cm (0.8 × 0.8 in) for a code scanned from arm's length across a table.

The usable rule is the 10:1 ratio — the code should be at least a tenth of the scanning distance. Scanning from 40 cm away? The code needs to be at least 4 cm. In practice:

When in doubt, go bigger. Nobody has ever complained that a QR code was too easy to scan.

The quiet zone

The blank margin around a code is not decoration. Scanners use it to find where the pattern starts and ends. The spec calls for four modules of clear space — a module being one of the small squares — which works out to roughly the width of one squarish block on each side.

This is the single most common failure. A designer receives a QR code, sees empty space around it, and tightens the layout: a border right up to the edge, a logo tucked into the corner, a background photo bleeding underneath.

Leave the margin. If your layout cannot accommodate it, the code is in the wrong place.

Contrast and colour

  • Dark pattern on a light background. Always.
  • Never invert. Light-on-dark works on some phone cameras and fails on others, and you will not find out which until service.
  • Brand colours are fine if they are dark enough. A deep green or navy on white scans reliably. A pastel does not.
  • No gradients across the pattern, and no background image underneath it.

If you want the code to feel on-brand, colour the frame around it, not the code itself.

Materials and finish

  • Matte, not gloss. Gloss lamination reflects overhead lighting straight back into the camera. In a dim restaurant with bright downlights — which is most restaurants — that is exactly the wrong optical property.
  • Laminate or seal anything that lives on a table. Table tents meet condensation, oil and cleaning spray. An abraded code stops scanning.
  • Avoid curved surfaces. A code wrapped around a bottle or a round tent distorts the pattern. Flat panels only.
  • Print at 300 DPI minimum. A code scaled up from a low-resolution export gets soft edges, and soft edges are what a camera struggles with.

Test the actual printed piece, not the file. Ink spread on uncoated card thickens the dark modules and can close the gaps in a dense pattern.

Placement

Where the code sits matters as much as how it looks.

  • One per table, standing upright. A code flat on the table forces guests to lean over it, which their own head then shadows.
  • Within arm's reach of a seated guest. Not on the far side of a six-top.
  • Away from the candle and the flowers. Anything that gets moved will end up on top of it.
  • Consider the window if you take passing trade. A menu readable from the pavement converts people who would not otherwise come in.
  • Not on the bill folder only. By then they have already ordered.

Always print a fallback

Under the code, print the short URL in readable text:

This costs you nothing and covers real cases: a cracked camera lens, a phone too old to scan natively, a guest who has disabled the camera, a code that got scratched.

And the words matter. A bare, unlabelled QR code on a restaurant table is ambiguous — guests have been trained by car park signage and parking fines to be wary. "Scan for our menu" removes the hesitation and measurably lifts scan rates.

Test properly before the print run

Not on your own phone. Test on:

  • An old Android, three or four years out of date.
  • An iPhone, straight from the camera app.
  • In the actual lighting of your dining room, in the evening. This is the test people skip and the one that matters.
  • At an angle, not square on.
  • With the code as printed, not on screen.

If any of those takes more than about two seconds, make the code bigger before you commit to the run.

The one that outlasts all of the above

Everything here is about a code scanning reliably. None of it helps if the code has to be replaced every time the menu changes.
